    Field Trip Scheduler
    JOB DESCRIPTION
    Gilbert Unified School District

    Purpose Statement:
    The job of Field Trip Scheduler is done for the purpose/s of coordinating activities relating to district sponsored field trips; providing a wide variety of clerical support to the Transportation Department; maintaining records and preparing reports

    Essential Functions

    • Coordinates activities relating to district sponsored Field Trips (e.g. posting driver requests, receiving bids, scheduling vehicles, etc.) for the purpose of ensuring availability of driver and vehicles in conformance with District, state and federal requirements.
    • Maintains a wide variety of files and records (manual and computerized) (e.g. accumulated hours, payroll data, school and department field trip hours, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
    • Performs functions of substitute bus driver in absence of assigned driver for the purpose of transporting students to/from school.
    • Performs functions of Dispatcher for the purpose of ensuring adequate coverage for transportation operations.
    • Prepares reports and written materials (e.g. field trip schedules and bid requirements; accumulated hours; driver hours; insurance reports; employee absences, etc.) for the purpose of providing written reference and/or conveying information.
    • Processes documents and materials (e.g. purchase orders, field trip requests, etc.) for the purpose of disseminating information to appropriate parties.
    • Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
    • Schedules vehicles and drivers for non-routine trips (e.g. field trips, off site extracurricular activities, etc.) for the purpose of ensuring students are transported in a timely efficient manner.
    • Tracks various costs and cost components related to field trips, travel and benefits for the purpose of maintaining accurate records and complying with district policies.

    Other Functions

    • Assists other personnel for the purpose of supporting them in the completion of their work activities.

    Job Requirements: Minimum Qualifications

    Skills, Knowledge and Abilities

    SKILLS are required to perform multiple, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; and preparing and maintaining accurate records
    KNOWLEDGE is required to perform basic math, including calculations using fractions, percent, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation
    ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and consider a number of factors when using equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups; setting priorities; working with detailed information/data.

    Responsibility

    Responsibilities include: working under direct supervision using standardized routines; leading, guiding, and/or coordinating others; and tracking budget expenditures. Utilization of resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the Organization’s services.

    Working Environment

    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. The job is performed under in varying atmospheric conditions
