Duties and Responsibilities
1. *Serves as the lead Administrative Officer to the UH Cancer Center Director. Provides professional level support in the planning, developing, and directing of director's office matters.
2. *Provide guidance to the UH Cancer Center administrative team in identifying work priorities and appropriate approaches to coordinate and implement special projects driven by the Director's office.
3. *Supports the Director's Office with the review, analysis, preparation of administrative and fiscal related documents, including but not limited to requisitions, purchase orders, travel requests in compliance with the University of Hawaii (UH), Research Corporation of UH (RCUH), and UH Foundation (UHF) policies and procedures.
4. *Develops office procedures and processes that increase efficiency and function within the UH Cancer Center director's office.
5. *Manages and oversees the visits by UH Cancer Center External Advisory Committee (EAC) and other National Cancer Institute (NCI) site visitors under the direction of the UH Cancer Center Director and the Associate Director for Administration (ADA).
6. *Manages, coordinates, and oversees the annual Weinman symposium, international conference on gene-environment in cancer sponsored by the Weinman foundation at the UH Cancer Center.
7. *Supports in gathering and synthesizing research materials for the Director's projects; Conduct research on relevant topics, compile data, and prepare summaries or reports; Help prepare presentations, articles, and reports for conferences or publications.
8. *Organizes board of director meetings and maintain meeting minutes; Corresponds with CEOs at hospitals and healthcare institutions that are part of the Hawaii Cancer Consortium (HCC); Foster collaboration and communication between the consortium members.
9. *Coordinates and attends the UH Cancer Center Executive Committee meetings, Senior Leadership meetings, HCC board meetings and legislative coordinators meeting.
10. *Member of the administrative manager's committee and leadership forum committee.
11. *Organize meetings between the Director and high-level university officials and external stakeholders; Prepare background briefings and reports for meetings with state and federal government officials; Build and maintain positive relationships with key contacts.
12. *Draft, edit, and proofread correspondence, reports, and other documents on behalf of the Director; Respond to emails and inquiries on behalf of the Director in a professional and timely manner; Maintain effective communication with internal and external stakeholders.
13. *Supervise lower level staff, graduate assistants, or student assistants; provides feedback, coaches, and evaluates staff.
14. Other duties as assigned.

Minimum Qualifications
1. Possession of a baccalaureate degree in Business Administration, Management, Health Science or related field and three (3) year(s) of progressively responsible professional experience with responsibilities for office management and administrative duties or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
2. Considerable working knowledge of principles, practices and techniques in the area of office management and/or administrative duties as it relates to the health field as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts,principles and methodologies.
3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated in the area of office management and/or administrative duties.
4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups,team leaders and members, and individuals.
7. Demonstrated ability to operate a personal computer and apply word processing software.
8. If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
9. Detail oriented with the ability to plan, organize and work on multiple projects and report to multiple people simultaneously.
10. Able to work independently,make effective timely decisions and meet deadlines in a dynamic and ever-changing environment.
11. Ability to maintain confidentiality and to use discretion when responding to inquiries.
12. Ability to exercise judgment, tact, patience, and discretion in applying and explaining policies and procedures.

Desirable Qualifications
1. Experience working in a healthcare setting or research unit.
2. Master's degree in business management or health science.
