The Multnomah Athletic Club (MAC) seeks an Executive Assistant adept at thriving in a dynamic, outcome-driven setting. In this position, you'll provide crucial support to the General Manager and Executive Leadership Team (ELT). Key Responsibilities

  • Projects:
    • Assist in promoting club athletic and social events.
    • Plan and implement departmental and extra-departmental projects as requested.
  • Administrative:
    • Handle highly sensitive and confidential information with care.
    • Draft correspondence and make meeting arrangements.
    • Manage the General Manager’s calendar and facilitate club-wide community donation process.
    • Attend meetings and take minutes as needed.
    • Aid in planning Executive and Club Events.
    • Provide administrative coverage across the organization as required.
    • Maintain files and coordinate requisition of Executive Office supplies.
  • Secondary Functions:
    • Assist HR and Events Teams in organizing employee events.
    • Provide additional support to the Board and Past Presidents.
    • Create polished presentation decks for the Executive Office.
Job Scope

This role is adaptable, responding to business trends and seasonal demands. Autonomy is essential for problem-solving, and decisions are made independently. Attention to detail is crucial to maintaining office efficiency.

Interpersonal Contacts

Communicate internally with SLT, Board of Trustees, Department Managers, and employees, and externally with members and contractors. These interactions often involve sensitive information and occasionally initiated independently.

What You’ll Bring

  • Previous administrative assistant experience required.
  • Bachelor’s degree preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Adobe Acrobat, Zoom, and Microsoft Office 365.
  • Strong customer service skills and ability to establish effective working relationships.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Exceptional organizational and planning skills.
  • Maintain confidentiality and discretion with sensitive information.
  • Thrive in a fast-paced environment with a positive and adaptable approach.
  • Demonstrate sound judgment and effective decision-making abilities.
  • Adapt to changing work environments, manage competing demands, and remain flexible in unpredictable situations.
  • Create professional and polished presentation materials.
  • Exhibit highly effective skills in taking and transcribing meeting minutes.

Job Conditions

  • Normal office environment.
  • Availability to work irregular hours, including holidays, evenings, and weekends.
