We're on the lookout for a full-time Administrative Assistant to join our dynamic team. We need someone who's not only highly organized and goal-oriented but also brings creativity to the table.

As our Administrative Assistant, you'll play a vital role in providing administrative support, including managing phone calls, organizing events, handling emails, word processing, spreadsheet creation, and PowerPoint presentations. You'll also assist in claim processing, file management, and maintaining confidentiality with customer information. If you're detail-oriented, self-motivated, and possess exceptional interpersonal skills, we'd love to welcome you aboard.

Key Responsibilities

  • Provide excellent customer service by answering phones and greeting customers.
  • Process and review insurance documentation to ensure accuracy and completeness.
  • Handle customer payments using our Remote Deposit System.
  • Manage office and employee supply inventory.
  • Act as a backup for various tasks when necessary.
  • Develop a comprehensive understanding of aviation insurance and property & casualty (P&C) insurance.
  • Maintain and organize customer insurance files with utmost confidentiality.
  • Proficiently use Microsoft Office applications (Word, PowerPoint, Excel, etc.).
  • Coordinate meetings and appointments, and manage the office calendar.
  • Respond to inquiries from agents and clients promptly and professionally.
  • Perform other duties as assigned.

Required Skills/Qualifications

  • High school diploma or GED required; Associate's Degree in business administration or related field preferred.
  • At least 2 years of experience in administrative support, customer service, or the insurance industry.
  • Proficiency in computer skills, including Excel and standard word-processing programs.
  • Strong team player with excellent communication skills.
  • Motivated self-starter with a knack for problem-solving.
  • Proven ability to handle data entry accurately.
  • Positive attitude with a sense of urgency and accountability.
  • Comfortable working in a fast-paced environment.

Preferred Skills/Qualifications

  • Previous experience in administrative roles preferred.
  • Familiarity with insurance industry practices and terminology.
  • Demonstrated organizational skills and attention to detail.
