Position Description
CGI is seeking a highly organized, proactive, and resourceful Administrative Assistant to support the VP of Strategic Operations and team. In this role, the ideal candidate will handle a wide range of administrative, organizational, and business-related responsibilities, ensuring the smooth operation of day-to-day activities. This role requires exceptional communication skills, the ability to manage competing priorities, and a strong willingness to learn and understand our business operations. The successful candidate will thrive in a fast-paced, collaborative environment, demonstrating initiative and a commitment to excellence. Some travel is required to support internal events.
This is a hybrid position and will be located in our Knoxville, TN office.

Your future duties and responsibilities
Administrative Support
- Proactively manage complex calendars, schedule meetings, and prioritize appointments to maximize time management and productivity.
- Coordinate domestic and some international travel arrangements, including flights, accommodations, itineraries, office bookings, and logistics. Prepare and proactively manage expense report submissions.
- Prepare and edit correspondence, meeting minutes, reports, presentations, and other business documents.
- Support the planning and coordination of internal meetings leadership summits, and events, ensuring all logistics run smoothly.
- Conduct research and compile data to support decision-making and planning.
- Serve as a liaison between the executive and key stakeholders, maintaining professionalism and confidentiality.
- Develop an understanding of the organization’s operations, goals, and strategic direction to anticipate needs effectively.
- Coordinate with other Strategic Business Units and Business Units to ensure seamless communication and collaboration.
- Oversee and manage special projects on an as-needed basis.
- Education: Bachelor’s degree preferred but not required.
- Experience: Minimum 2-5 years of experience supporting senior executives in a similar capacity or a Bachelor's degree in lieu of experience.
- Professional discretion and ability to maintain confidentiality.
- Excellent verbal and written communication skills, with attention to detail.
- Highly organized and capable of managing multiple priorities while adapting to evolving business needs in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other collaboration tools.
- A natural curiosity and bias toward learning CGI’s business operations to enhance support and efficiency. Proven problem-solving and decision-making abilities.
