Primary Purpose
This Receptionist/ Tax Assembly Associate position provides administrative and client service support to the Company. The Tax Assembly portion of the role provides timely and courteous service to all clients and firm personnel including organizing, scanning, and processing tax documents and assembling tax returns. The Receptionist portion of the role provides general office support with a variety of clerical activities and related tasks including answering incoming calls, directing calls to appropriate team members, mail distribution, and flow of correspondence.

Primary Purpose
This Receptionist/ Tax Assembly Associate position provides administrative and client service support to the Company. The Tax Assembly portion of the role provides timely and courteous service to all clients and firm personnel including organizing, scanning, and processing tax documents and assembling tax returns. The Receptionist portion of the role provides general office support with a variety of clerical activities and related tasks including answering incoming calls, directing calls to appropriate team members, mail distribution, and flow of correspondence.
Responsibilities Include But Are Not Limited To
- Answer phones, direct calls, and communicate messages to team members
- Greet and direct visitors and clients
- Receive, sort, and distribute incoming mail
- Complete administrative projects as needed
- Coordinate express delivery services (FedEx, courier, etc.)
- Assemble tax returns that are neat and accurate in a timely manner for presentation to client
- Maintain cleanliness of reception area and all common areas such as conference rooms, storage rooms and employee café
- Work closely with other team members to clarify and resolve issues that arise during the assembly of tax returns
- Maintain a working knowledge and competency of appropriate software applications utilized by the Firm, including Word, Excel, Outlook, and Adobe Acrobat
- Create and maintain filing systems
- Maintain appropriate levels of office supplies throughout office including those of employee café
- Ability to give and follow instructions accurately and efficiently, proactive in asking clarifying questions to ensure work effort is directed wholly toward desired outcome
- Excellent communication skills along with great or developing negotiation skills
- Willingness and ability to adapt to new circumstances, information, and challenges
- Ability to travel to client sites when needed
- Demonstrates a positive, can-do attitude
- High school diploma or equivalent
- At least 1-3 years related reception or front desk/administrative experience required
- Previous experience in Tax Preparation preferred
