Key Responsibilities
- Greet all office visitors with a friendly, professional demeanor and notify relevant team members.
- Answer and direct incoming calls; take accurate messages when necessary.
- Sort and distribute all incoming mail and packages.
- Scan insurance certificates and payable invoices to Accounts Payable.
- Maintain express mail and postage supplies (FedEx, UPS, etc.).
- Purchase postage and manage outgoing U.S. Mail.
- Monitor and replenish office, kitchen, and bathroom supplies across three offices.
- Track company credit card expenses and request missing receipts weekly.
- Process overhead invoices, route for approvals, generate checks, and prepare for Controller's signature.
- Maintain annual overhead files on company drive.
- Assist with vendor credit applications.
- Order Safety PPE and monitor inventory.
- Notify vendors of expired or expiring insurance and verify compliance.
- Support the Accounts Payable 1099 procedure.
- Manage subcontractor blanket agreements: review, upload, and coordinate with VP.
- Renew and upload occupational and company licenses into RedTeam.
- Coordinate facility maintenance and repairs, keeping common areas tidy.
- Maintain conference room calendars and supplies.
- Turn on all TVs each morning.
- Maintain fleet logs and schedule vehicle maintenance.
- Set up desks and equipment for new hires.
- Act as primary point of contact for IT, cleaning, and maintenance vendors.
- Distribute badges, shirts, hardhats, vests, key cards, and business cards to new hires.
- Track and manage SunPass violations, vehicle accidents, insurance claims, and tag renewals.
- Plan and coordinate employee events, team-building activities, birthdays, and company functions, including booking venues and catering.
- Take on additional responsibilities as assigned by leadership.
- Strong knowledge of general office procedures and systems.
- Proficiency in Microsoft Office Suite and other business software.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Professional demeanor and attention to detail.
- Ability to handle sensitive information with discretion.
- Experience in facilities coordination and vendor communications is a plus.
