Description

The Alexa Communications team is aspiring to make it effortless for Alexa to connect and coordinate with the world by anticipating, personalizing, and acting on every communication. Our team is seeking an exceptional Executive Assistant to support two Directors. This is an exciting opportunity to join a fast-growing team in the emerging Alexa+ space, working directly with senior leadership. This role offers unique exposure to AGI as the two executives you will be supporting are a key driving force in bringing Alexa Comms's vision to life. In this role, you will be instrumental in maximizing the effectiveness of executives through calendar and meeting management across multiple time zones and a variety of other tasks. You'll handle high-volume meeting requests, coordinate preparation materials, and ensure smooth execution of both internal and external meetings. This includes developing agendas, capturing notes, tracking action items, and managing follow-up communications with stakeholders. Working closely with senior leadership, you'll gain valuable exposure to the Devices and Services industry while building a strong network across product, technology, and operations. You'll be in the thick of exciting content and business decisions, while also working with cutting-edge tools and technologies in a fast-paced environment.

Key job responsibilities

  • Support two Alexa Comms executives in helping them to be more effective and efficient leaders.
  • Manage complex calendars and scheduling across multiple locations and time zones.
  • Help executives prepare for meetings by developing meeting agendas, taking and disseminating notes, and tracking action items.
  • Organize, execute, and/or assist with internal and external meetings and events (i.e., recurring staff meetings, team off-sites, pitch meetings, team gatherings).
  • Coordinate meeting logistics and assist guests with building access.
  • Coordinate domestic and international travel arrangements.
  • Submit and track expense reports, process invoices, and manage departmental T&E and project budgets.
  • Issue and manage MNDAs and other vendor agreements.
  • Prepare presentations and briefing notes for internal meetings and external speaking engagements and panels.
  • Maintain knowledge management systems and team wikis, including employee onboarding processes and documentation.
  • Troubleshoot basic technical issues and support executives with technology needs.
  • Partner closely with the broader leadership team, key business partners, and other Alexa and Amazon colleagues to help the Company accomplish its goals.
  • Support and represent Alexa Comms and other Alexa divisions at internal and industry events.
  • Serve as a champion of Amazon's culture, helping keep our vibrant workplace fun and engaging.

Basic Qualifications

  • 2+ years of senior level leadership support, or 1+ years of Amazon experience
  • High school or equivalent diploma
  • Experience with Microsoft Office products and applications
  • Experience with executive level calendar management
  • Ability to maintain confidentiality and exercise discretion
  • Experience with domestic or international travel coordination

Preferred Qualifications

  • Experience in Devices and Services or technology industries
  • Technical aptitude and ability to troubleshoot basic device/software issues
  • Familiarity with common business tools (Concur, Slack, Confluence/Wiki platforms)
  • Experience supporting multiple executives
  • Background in event planning or project coordination
  • Experience with budget tracking and reporting
  • Demonstrated comfort with and enthusiasm for using generative AI tools to enhance productivity and workflow efficiency

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $50,000/year in our lowest geographic market up to $107,100/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company. Dependent on the position offered, equity, sign-on payments, and other forms of compensation may be provided as part of a total compensation package, in addition to a full range of medical, financial, and/or other benefits.
