The Licensing and Contracts Specialist will ensure all Neighborhood Healthcare’s licensing and permit requirements compliant and submitted. This role will assist Neighborhoods contracting operations by reviewing/redlining contracts, overseeing administrative tasks, and leading special projects determined by Finance Management. Candidates must be located in Southern California.

Responsibilities

Licensing

  • Serves as principal advisor on licensing matters
  • Collaborates with leadership and other internal stakeholders in determining proper licensing actions that need to take place
  • Prepares all licensing, permits, and registration applications necessary to ensure proper compliant operations and submits them to the proper local, state, or federal agencies
  • Tracks all applications and proactively follows-up on the status until final approvals are obtained
  • Tracks all renewal requirements for all local, state, and federal licenses, permits, and registrations
  • Oversees records and retention of documents relating to licensing and ensures that documentation is complete and accurate
  • Develops, updates, and reviews policies and procedures for licensing and permits to ensure efficiency and accuracy
  • Organizes and prioritizes workload based on deadlines, importance, and visibility

Contracts Management

  • Reviews and analyzes contracts to ensure compliance with company standards
  • Negotiates aspects of contracts between Neighborhood and external sources, as directed
  • Participates in the development, review, and auditing of the organization's contracts
  • Provides administrative support to management, such as maintaining and managing Asana, Coupa, and contract management software systems
  • Leads and/or assists in managing special projects with the team

Quality Management

  • Contributes to the success of the organization by participating in quality improvement activities

Customer Relations

  • Respond promptly and with caring actions to patients and employees
  • Maintain professional working relationships with all levels of staff, clients, and the public
  • Cooperates in accomplishing department goals and objectives
  • Works with outside vendors to maximize quality of Vendor/NHC relationships and ensures industry respect
  • Maintains professional demeanor with internal and external contacts in all business transactions
  • Functions at highest level according to credentials and competencies
  • Impacts patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy
  • Operates to instill confidence in our care and in our facilities to patients, fellow employees, and other stakeholders

Qualifications

Education/Experience

  • Bachelor’s degree required or equivalent combination of education and experience; master's degree preferred
  • Two years’ project management experience required
  • One year contracts review experience required
  • One year filing, renewing, and tracking business licenses and permits experience required
  • Experience with compliance and/or C-suite support preferred
  • Experience with multi-tiered licensing in healthcare or FQHC environments preferred

Additional Qualifications (Knowledge, Skills, And Abilities)

  • Excellent verbal and written communication skills, including superior composition, typing, and proofreading skills
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
  • Knowledgeable about and experience with contract management and Microsoft Office software
  • Knowledgeable about and experience with reviewing, redlining, and negotiating contracts
  • Ability to research licensing requirements and understand statutory language
  • Ability to successfully manage multiple tasks simultaneously
  • Excellent planning and organizational ability
  • Excellent project management ability
  • Ability to work as part of a team as well as independently
  • Ability to work with highly confidential information in a professional and ethical manner

Physical Requirements

  • Ability to lift/carry 5 lbs/weight
  • Ability to stand for long periods of time

Pay range: $32.40-$45.34 per hour, depending on experience.

While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs. As a result, placement within the range is not guaranteed, and the full pay grade range may not be utilized.
