Job Summary
The HR Specialist will function as an integral member of the department and will be responsible for a variety of functions including benefits, leave of absence, payroll, onboarding new hires, applying policies and procedures, legal compliance, and administering various human resources programs. The HR Specialist will also assist with recruiting, and training and development. The HR Specialist will work closely with the HR Team to support the overall strategy by helping to identify, prioritize, and build organizational capabilities, structures, and processes through operational delivery.

Job Summary
The HR Specialist will function as an integral member of the department and will be responsible for a variety of functions including benefits, leave of absence, payroll, onboarding new hires, applying policies and procedures, legal compliance, and administering various human resources programs. The HR Specialist will also assist with recruiting, and training and development. The HR Specialist will work closely with the HR Team to support the overall strategy by helping to identify, prioritize, and build organizational capabilities, structures, and processes through operational delivery.
Functions & Job Responsibilities
- Maintains the HRIS system by accurately entering new hires and all employment related changes. Monitors and audits all changes to ensure accuracy and compliance.
- Manage and organize employee personnel files, including employee’s medical folders
- Lead pre-employment process by sending offer letters, initiate and monitoring background checks, sending and gathering new hire documents.
- Responsible for onboarding for new hires and consultants prior to orientation. Ensure all documentation is complete prior to the start of orientation.
- Conducts HR Orientation by providing a welcoming environment to new employees.
- Complete I-9 Form, verifies I-9 documentation, complete verification on E-Verify, maintain I-9 files and conduct periodic audits to ensure compliance.
- Works cross-functionally with internal teams to ensure systems set up/access for new hires.
- Working with the T&D Manager to develop and maintain onboarding experience for new hires.
- Support the recruiting function by posting and monitoring jobs, screening resumes, conducting interviews, reference checks, and monitor employee referral program.
- Point of contact for applicants, employees, and clients on HR-related questions.
- Provide plan information for benefits and 401K to eligible employees. Administer all plan enrollment, changes, and terminations. Ensure accurate record keeping and proper deductions are entered into Paycom.
- Acting as the liaison between company and KCAL Insurance Broker.
- Reconciles benefits statements.
- Complete termination process by generating exit paperwork, updating HRIS systems and IT Ticketing system.
- Monitor 90-Day Introductory Reviews and Annual Performance Reviews to ensure reviews are completed within the desired due date.
- Assist employees with LOA questions and concerns.
- Manage leave of absence (LOA) correspondence for all notifications, approvals, and requests for medical certification.
- Monitor LOA dates and premium deduction submission.
- Complete employment verifications.
- Manage HR Monthly/Quarterly/Annual Reports; (i.e., Employee listing, Conflict of Interest, mandatory trainings)
- Create and manage the department’s Standard Operations Procedures.
- Partner with HR Management to execute human resource programs including but not limited to leave of absence, benefits, performance and talent management, health and safety, wellness program and training and development.
- Plan and organize monthly birthday celebrations for all CCHP offices.
- Maintains compliance with federal, state, and local employment laws and regulations.
- Other duties as assigned.
Qualifications
Education and Experience:
- Bachelors in Human Resources or Business Administration
- Three (3) to five (5) years of human resources experience with a good knowledge of HR principles.
- Minimum of two (2) years’ experience in HRIS data entry.
- SHRM or PHR certificate, preferred.
- Understanding of California employment laws and regulations required. Multi-state a plus.
- Ability to work in a fast-paced environment.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to prioritize assignments and tasks.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite
- Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems.
Physical & Working Environment.
Physical requirements needed to perform the essential functions of the job, with or without reasonable accommodation:
- Must be able to travel when needed or required
- Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (note-taking)
- Ability to sit for long periods; stand, sit, reach, bend, lift up to fifteen (15) lbs.
