Position Type: Part-Time (2:00 PM – 7:00 PM, 25 hours per week)

Compensation: $22.00 - $32.00 per hour

Position Overview

The Front Desk Administrator serves as the first point of contact for visitors, staff, and members, ensuring a welcoming and professional environment. This role is responsible for managing front desk operations, handling administrative tasks, and supporting Club staff. This position is also responsible for maintaining vendor relationships and stewarding day-to-day procurement needs supporting the Clubhouse.

Essential Functions

  • Creates a Welcoming Environment: Establishes a warm and inviting atmosphere for guests, staff, and clients while professionally handling inquiries, concerns, and complaints.
  • Clear & Professional Communication: Articulates information effectively in person, over the phone, and via email while managing multi-line phone systems and digital communication platforms.
  • Efficient Task & Time Management: Balances multiple responsibilities, prioritizes tasks effectively, and ensures smooth daily operations without compromising quality.
  • Problem-Solving & Adaptability: Proactively resolves issues, adapts to last-minute changes, and knows when to escalate or independently handle challenges.
  • Administrative & Operational Support: Provides day-to-day assistance, including maintaining filing systems, tracking registration fees, scheduling, and ensuring documentation accuracy.
  • Facility & Front Desk Management: Oversees opening/closing procedures, building maintenance, and serves as the Club receptionist, welcoming visitors and managing attendance logs.
  • Technological Proficiency: Utilizes Microsoft Office, Google Suite, CRM systems, and digital scheduling tools to coordinate meetings, track records, and support operations.
  • Professionalism & Team Support: Maintains a positive demeanor, supports leadership, manages office equipment and service contracts, and ensures effective internal communication.

Required

Qualifications & Experience:

  • High school diploma required.
  • Combination of education, training, and experience equivalent to three years in office administration role.

Preferred

  • Bachelor's Degree from an accredited institution of higher education preferred.
  • Bi-lingual English/Spanish

Work Environment

This position will work primarily in a Clubhouse environment at the Boys & Girls Club of San Leandro. This role may occasionally require flexibility to accommodate organizational events or deadlines. Key aspects of the work environment include:

  • Occasionally required to stand.
  • Frequently required to walk.
  • Frequently required to sit.
  • Continually required to utilize hand and finger dexterity.
  • Occasionally required to climb, balance, bend, stoop, kneel or crawl.
  • Continually required to talk or hear.
  • Occasionally exposure to outside weather conditions.
  • Occasionally exposure to bloodborne and airborne pathogens or infectious materials (Communicable diseases in an office environment including COVID-19, common cold, and flu viruses. Negative TB screen required).
  • While performing the duties of this job, the noise level in the work environment may vary, light to moderate.
  • The employee must occasionally lift and/or move more than 25 pounds.
