Moss' Administrative Assistant - Preconstruction will provide comprehensive support to the Solar Preconstruction Team. The ideal candidate will work collaboratively with the Executive Assistant and support Managers and Directors within the department. This position works at developing and maintaining detailed and procedural processes that improve accuracy, efficiency and achieves organizational objective for the team.

Essential Job Duties And Responsibilities
- Support Moss' Solar Preconstruction Team of Engineers, Estimators, and Project Managers/Executives to ensure efficiency within their daily workflow
- Provides general administrative assistance, records/maintains notes, computer files and performs other duties as assigned by the Executive Assistant
- Responsible for setting up internal and external staff and client meetings and preparation of agendas and materials for said meetings
- Attending staff meetings and taking notes and following up on actions items, holding members accountable for status updates prior to next meeting
- Book travel, submit expense reports and send communications for high-level staff as needed
- Send out and receive mail, documents, and packages. Distribute items to mailboxes and offices as requested
- Manage given schedules for Stakeholders and partner with Recruiters to coordinate appointments/calls, interviews for open requisitions
- Maintain office supplies for the team and reorder as needed for the Preconstruction team
- Answer all phone calls and emails sent to the main office and provide inter-office messages as requested
- Exercises sound and accurate judgment by including the appropriate people in the decision-making process and displaying a willingness to make decisions
- Demonstrates consistence and has strong organizational, communication, and time-management skills
- Demonstrates ability to work in a fast-paced environment
- Exudes positive and high-energy attitude
- Must be able to lift up to 20 pounds at times
- Perform other duties as assigned
- High school diploma is required, some college preferred
- Two or more years of office experience supporting a team of 5 or more (mid - senior level) managers
- MS Word, PowerPoint, Excel, Outlook, and Adobe Acrobat proficiency required
