Description

We are seeking a highly experienced Administrative Assistant to perform receptionist duties, secretarial functions, and maintain office supplies, while also demonstrating exceptional proficiency in computer applications and organizational tasks. The ideal candidate will actively contribute to process improvement initiatives and possess excellent communication skills to support the success of the program under the guidance of the Executive Director.

On-site in Springfield, IL.

DUTIES

  • Perform receptionist responsibilities.
  • Perform typing, filing, and other secretarial functions.
  • Secure and maintain office supplies for the central office.
  • Assist Executive Director in creating and generating forms.
  • Maintain petty cash funds.
  • Maintain filing system for SVP releases.
  • Maintain general filing system for employees, contractors, vendors, and others.
  • Arrange travel plans for Executive Director and Regional Coordinators
  • Secure telephone lines for conference calls.
  • Assist staff in creating PowerPoint presentations.
  • Create and maintain spreadsheets for vendor payment.
  • Perform other duties (not outlined above) assigned by Executive Director that will be necessary for the success of the program.

Requirements

  • Minimum of five years' experience as an Administrative/Executive Assistant.
  • Demonstrated ability to work in team-oriented atmosphere.
  • Demonstrated ability to work independently.
  • Excellent computer skills.
  • Demonstrated ability to work with various word processing formats (MS Word, WordPerfect, etc), spread sheets, and PowerPoint.
  • Excellent organizational skills.
  • Excellent communication skills.

The employee frequently is required to sit in meetings for long periods of time. The employee will utilize technology tools such as a laptop computer for extended periods of time. The employee must be able to reach with hands and arms and talk or hear. Specific vision abilities required by this position include close vision, color vision, and the ability to adjust focus. The noise level in the work environment is usually moderate.
