Summary

The Early Childhood Education Center (ECEC) Administrative Assistant provides program support to the Center through office and clerical functions, and assists Lead and/or Assistant teachers with classrooms, storage materials, and common center areas.

Duties

Assist the ECEC Director and ECD Department Chair in managing the daily operations of the Center.

Maintain and enter attendance, family enrollment data, and student practicum info into Procare database.

Assist customers, including giving tours of the facility and greeting visitors.

Perform receptionist tasks - answer the telephone, filing, disseminate information, and distribute mail.

Assist ECEC Director with staff scheduling.

Assist all ECD staff and faculty with clerical tasks.

Serve as an aide in the ECEC lab school classrooms as needed.

Manage purchasing orders, receipts stocking supplies, materials, and maintaining inventory.

Communicate with Tech Ed division personnel and OTC shipping and receiving regarding purchasing processes.

Maintain and organize office supplies and curriculum materials.

Prepare and edit memos, reports, spreadsheets, emails, etc. when necessary.

Assist with orientation of OTC Work Study students.

Work together with colleagues and parents to build positive relationships within the preschool environment, the OTC environment, and the community.

Assist with general housekeeping tasks.

Assist with major projects and ECEC events including graduation, fall harvest parade, family luncheon, etc.

Complete professional development training hours as required for licensing, accreditation, and Ozarks Technical Community College.

Maintain current CPR and First Aid certifications.

Attend all staff meetings and other mandatory or required in-service meetings.

Maintain confidentiality of all students, and employees.

Demonstrate professional conduct, a positive attitude, and a supportive culture.

Know and adhere to the policies of the program in regards to:

  • Licensing and accreditation guidelines
  • Communicable diseases and exclusion of sick children
  • First aid and medical emergency
  • Emergency procedures
  • Mandated reporting procedures
  • Center dress code and professionalism
  • Reporting personal illness when needing a sick day or requesting time off
  • Missouri MOve Smart guidelines
  • NAEYC Code of Ethical Conduct
  • FERPA and HIPPA confidentiality guidelines within the classroom and ECEC

Exhibit exemplary attendance and punctuality.

Comply with college policies and procedures.

Perform other duties as assigned, including attending college functions, serving on committees and attending community events.

Requirements

Ability to pass a TB test, and provide current TB Risk Assessment.

Ability to pass a medical physical, as required by the Missouri Department of Health and Senior Services.

Ability to be approved by the state Family Care Safety Registry and the Comprehensive Fingerprint Criminal Background Check.

Prior customer service experience.

Perform physical activities and lift up to 50 pounds unassisted.

Ability to work well with others.

Strong oral and written communication skills.

Ability to use information technology for professional productivity (such as Microsoft Office Suite).

Nice To Haves

One year of experience as an office or administrative assistant.

Nine college credit hours in early childhood development, early childhood education or a related field from a regionally accredited institution of higher learning, or a current Child Development Associate (CDA) credential.

Experience with Procare Software.

Experience working in a child development laboratory setting at an institution of higher learning.

Prior experience working with a diverse population.

Previous experience supervising preschool children.

Experience with Colleague.
