Summary

Provide communication link to all internal customers from inside and outside sources. Exhibit high level of customer service in attitude and appearance. Maintain customer service operations by producing sales related information through initiating, editing, retrieving, copying, coordinating, and transmitting data for key operational requirements and procedures. Maintain customer satisfaction by completing customer requests on the telephone, in person, referring inquiries. In addition, investigates, evaluates, and directs the receipt of customer complaints and claims. Report to the quoting and pricing manager.

Duties and Responsibilities

  • Sit at front desk and welcome visitors.
  • Open and distribute incoming/outgoing mail and faxing.
  • Assists Executive Management Team with projects and assignments.
  • Monitor switchboard and direct calls to appropriate personnel.
  • Greet customers and direct them to the proper personnel.
  • Maintain security by following procedures and monitoring visitors' logbook.
  • Maintain clean and safe reception area.
  • Maintain office supply room for cleanliness & stocking.
  • Data entry: create reports and database maintenance.
  • General support duties - postage meter, shredding, copying, scanning, & end of day procedures
  • Make hotel, airline, and rental car reservations and secure confirmations related to sales calls and/or conferences.
  • Other duties as assigned.

Job Requirements

Intermediate level. Acquires job skills and applies existing job knowledge to complete a wide range of projects and tasks. Must be able to make decisions about the use of the organization's resources and have concerns with planning, organizing, and controlling the organization's activities to reach its objectives.

Knowledge/Experience

Must possess good written, oral communication and keyboarding skills. Experience and knowledge of Microsoft Word and Excel is required. A high school degree is required and at least two years of previous experience in an office setting preferred. Communication and conflict resolution are necessary skills to work with individuals both internally and externally. And have intellectual ability to process information and make accurate decisions about the job tasks.
