Scion Staffing, an award-winning full-service staffing firm, is proud to partner with an agricultural/biotech company in metro Sacramento, CA, to find an experienced Executive Assistant to support the Vice President and the R&D team. Relocation assistance is available for this role. This high-impact role enhances leadership effectiveness through strategic and administrative support, enabling the executives to focus on high-level initiatives. The ideal candidate is proactive, resourceful, and capable of managing complex priorities while contributing to long-term goals and operational excellence.
Executive Support:
This is a full-time, on-site position based in the metro Sacramento, CA area. The salary range is $80,000-$90,000 (+) DOE, with a comprehensive benefits package including comprehensive health, dental, and vision insurance, generous PTO, paid sick time, floating holidays, and birthday off, Paid family leave and wellness program benefits, EAP program, Life and AD&D coverage, 401(k) with company match and profit sharing, and more.

Executive Support:
- Manage and prioritize calendars, meetings, and events in alignment with strategic objectives.
- Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
- Prioritize and track critical tasks and deadlines to enhance executive productivity.
- Draft, review, and manage professional correspondence on behalf of both executives.
- Organize meetings, prepare agendas, compile reports, take meeting notes, and ensure timely follow-up.
- Handle confidential documents with discretion; maintain organized filing systems.
- Collaborate with finance teams on budget monitoring and capital expenditure reporting.
- Support document management and data retrieval systems.
- Serve as liaison between senior leadership and internal/external stakeholders to ensure effective communication.
- Assist in the preparation of board materials and executive communications.
- Represent leadership professionally in their absence and manage access to optimize their schedules.
- Partner with leadership on long-term planning, strategic goal setting, and project coordination.
- Monitor compliance and legal updates, ensuring executives are informed and aligned.
- Track team performance through monthly KPI reporting and global report updates.
- Coordinate functional leadership calendars and assist with key team communications.
- Identify and implement improvements to administrative workflows and systems.
- Plan and execute internal events and cross-functional meetings.
- Pursue professional development opportunities to enhance capabilities and value to the organization.
- Bachelors degree in a relevant field required.
- Minimum of 5 years administrative support experience, including 3+ years at the senior leadership level.
- Industry experience in research, agriculture, biotech, or similar sectors is a plus.
- Strong written and verbal communication, discretion, attention to detail, and time management skills.
- Proficiency in Microsoft Office Suite and project management or data tools.
- Multilingual skills (e.g., English with Japanese or Spanish) are preferred but not required.
