Key Responsibilities
Your essential duties will include:
- Front Desk Management: Deliver exceptional front-desk hospitality, direct them to appropriate staff, and maintain a clean, professional reception area.
- Phone and Email Communication: Answer and direct calls, relay messages, and respond to inquiries with clarity and courtesy.
- Customer Service: Provide a positive experience for all guests and clients, demonstrating patience and professionalism.
- Administrative Support: Perform general administrative tasks including filing, photocopying, scanning, and data entry.
- Invoice Processing: Generate and close customer invoices in the route accounting system, ensuring accuracy and timeliness.
- Payment Handling: Reconcile prior-day cash drawers, deposit checks into company bank accounts, and apply payments to customer accounts.
- Day-End Procedures: Complete Day Shut Down procedures in the accounting system and communicate completion to the appropriate personnel.
- Account Setup: Create new customer accounts in the route accounting system, ensuring accurate information such as TABC licenses and billing addresses.
- Mail Coordination: Manage incoming and outgoing mail, including coordinating courier services as needed.
- Other Duties: Demonstrate flexibility and initiative by performing other job-related tasks as assigned to support office operations.

To be considered for this position, candidates should possess:
- High school diploma or equivalent.
- Additional certification in office administration or a related field is a plus.
- Proven experience as a receptionist or in a customer service role.
- Strong verbal and written communication skills.
- Polite and professional demeanor when interacting with visitors, clients, and colleagues.
- Excellent customer service skills.
- Ability to handle inquiries, requests, and issues with a positive and helpful attitude.
- Strong organizational and multitasking abilities.
- Ability to manage front desk responsibilities, including directing visitors, handling calls, and coordinating appointments.
