Position Summary
The Administrative Assistant will help support the Scientia Vascular Human Resources and Administrative team in a variety of ways that are focused on increasing the efficiency of the business. Duties include prioritizing emails, managing the schedule, answering some phone calls, planning and coordinating meetings, gathering required documentation and product samples, arranging travel, responding to priority or confidential communications, and documenting the output of executive meetings. This position requires an individual who embodies the company’s objectives and culture, exhibits professionalism, and maintains confidentiality.

Primary Responsibilities
- Maintain distribution lists including: writing, editing, and organizing e-mails
- Handle sensitive information in a confidential manner from external or internal sources on behalf of the executive
- Maintain comprehensive and accurate records
- Perform minor accounting duties
- Create or direct the completion of presentation materials
- Coordinate travel arrangements, organize meetings, schedule projects, send reminders, and organize catering when necessary
- Answer and respond to phone calls in a professional manner
- Manage executive’s calendar, including making appointments and prioritizing the most time sensitive matters
- Develop a broad knowledge and understanding of the company's operations and business objectives
- Other duties as required by executive management to support business needs
- Assist with scheduling and coordinating candidate interviews
- Assist with maintaining personnel files
- Assist with coordinating employee engagement initiatives
- Assist with employee recognition programs
- Assist with coordinating employee and manager training
- Proven experience of 2-5 years minimum as an Administrative Assistant
- Full comprehension of office management systems and software
- Excellent knowledge of MS Office
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- High-level verbal and written communications skills
- Discretion and confidentiality
- Comfortable with changing priorities and ability to be flexible with that
- Ability to perform in a fast-paced work environment
