Description

Tribal Tech, LLC is seeking an Executive Assistant whowill provide high-level and comprehensive support to senior executives at our client site in Washington, D.C. The Executive Assistant must be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This role requires the ability to anticipate needs, think critically, and offer solutions to problems while maintaining a high level of professionalism and confidentiality.

The Administration for Native Americans supports Native American communities by providing grants management assistance and capacity building, gathering and sharing data, and advocating for improved policies within the Department of Health and Human Services and across the federal government.

Major Duties and Responsibilities:

  • Provide high-level calendar management for high-level officials. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Inform the Deputy Commissioner of upcoming commitments and responsibilities. Act as a "barometer" on current issues and keep the Commissioner updated. Anticipate and address the Deputy Commissioner's needs in advance.
  • Manage the Deputy Commissioner’s travel logistics and activities, including accommodations, transportation, and meals.
  • Provide onsite support for senior federal leadership, including scheduling meetings, note-taking, preparing meeting minutes, and other administrative support at meetings as required.
  • Compose correspondence, including e-mails, letters, agendas, PowerPoint presentations, and Excel spreadsheets, paying attention to proofreading, formatting, editing, and branding documents into client-ready deliverables.
  • Provide a broad range of administrative duties to support the Deputy Commissioner in leading the organization effectively. Responsibilities include assisting with special projects; maintaining a database of tasks and contents; designing and producing complex documents, briefing materials, weekly reports, and presentations. Additionally, responsibilities involve collecting and preparing information for meetings with staff and external parties; drafting and preparing correspondence; maintaining contact lists; arranging travel; and processing voucher and credit card expense reconciliations.
  • Other duties as assigned.


Skills and Knowledge:

  • Significant executive support experience, including supporting C-level executives.
  • Must have strong written and verbal communication skills.
  • Excellent organizational/ time-management skills with a demonstrated ability to manage conflicting priorities.
  • Detail-orientated with a strong ability to anticipate needs/ problems and act accordingly.
  • Able to work in a fast-paced and deadline-driven environment.
  • Team player with the ability to work independently and perform with a high level of autonomy with minimal guidance or review.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and SharePoint) required.
  • Knowledge of Federal Travel Regulations and experience with Federal travel booking systems (e.g., Concur).
  • Familiarity with online calendars and cloud systems.
  • Must be able to favorably complete a background investigation.


Education and Experience:

  • Bachelor’s degree in a related field.
  • Minimum of 4 years of relevant work experience in an office environment and/or administrative capacity, working with senior leadership; Federal government experience preferred.
  • Requires some knowledge of federal government contracting and corporate policies/ procedures.
  • Experience working on Native American issues or working with other underserved/ socioeconomically disadvantaged communities.
