Job Summary
The Human Resources Compliance Specialist is responsible for stewarding the employee benefits administration and managing leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local laws, worker's comp, military leave and short-term or long-term disability plans. This position also helps maintain the compliance and integrity of the HR Information Systems and will be responsible for state, federal and related compliance-related reporting (i.e. EEO-1, Worker’s Comp, etc.). Position will also be responsible for optimizing human resources information systems (HRIS) to ensure accurate data management, reporting, and compliance. Position will collaborate across departments, troubleshooting system issues efficiently, and proactively identifying opportunities for process improvement.

Benefits
- Serves as first point-of–contact for employee benefit related questions and resolves questions/issues through research and policy interpretation. Responsible for day-to-day administration of benefit programs such as medical, dental, vision, life, disability and retirement
- Liaison between employee and benefit vendors for claim issues and resolution.
- Manages retiree benefits by ensuring premiums are collected and coverage is accurate and in accordance with policies.
- Works with employees to guide them through enrollment and life event changes, documentation and deadlines.
- Processes life insurance and related benefit claims.
- Supports annual open enrollment processes with HRIS system testing, employee communications, and employee assistance with online changes. Maintains the Benefits records section of the Human Resource Information System and compiles reports as needed.
- Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, etc.
- Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their managers during leave within reason
- Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term (IPP) and long-term disability benefits.
- Oversees the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).
- Facilitates other leave requests, which may include accommodation requests under the ADA or unpaid leave of absence.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices. Provides reports to management as needed.
- Preserves confidentiality of employee medical documentation and files.
- Partners with Payroll for issues relating to premium payments, paid leave, return to work process, workers compensation, etc.
- Distributes and tracks Short Term Disability (STD), Long Term Disability (LTD), and related paperwork. Works with Third Party Administrator (TPA) to ensure timely processing of all needed paperwork and information.
- Position requires the highest degree of discretion, tact and confidentiality.
- Performs other duties as assigned.
- Bachelor’s degree in Human Resources, Business Administration, or related field required or the equivalent combination of education and experience.
- Five (5) years of recent experience in benefit plan administration including leave of absence management, HRIS and/or comparable positions in human resources.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficiency in HRIS software (and related), data analysis tools, and reporting.
- Ability to manage HRIS projects and system implementations.
- Excellent listening, verbal, and written communication skills with employees and all levels of
- Ability to confidentially manage HR and medical related information and demonstrate ethical and professional conduct at all times
- Knowledge of federal, state and local employment laws and regulations
- Proficient with Microsoft Office Suite and related software.
- Ability to analyze data, identify trends, and solve problems.
- Highly detail-oriented with excellent organizational skills and multi-tasking abilities
- A solid understanding of HR functions and how they are supported by technology.
- Excellent time management skills witha proven ability to meet deadlines.Strong analytical and problem-solving skills.
