The Front Office Specialist schedules patient appointments, greets patients and visitors, answers and directs phone calls, checks patients in and out, verifies insurance eligibility and assists in general office duties.
This position will be based in a clinic that provides services to adults and/or children with serious mental illness, and the front office specialist will be interacting with these clients.

- Answers the telephone and forwards any calls to appropriate individuals.
- Schedules and processes referrals.
- Schedules and records patient appointments, advises patients of any necessary standard instructions and instructs new patients of procedures. Records cancellations or no shows.
- Greets patients and other visitors, directing them appropriately (i.e., assisting them in signing in, completing registration forms, or to the appropriate individual).
- Prepares sign-in sheets.
- Verifies insurance.
- Handles all revenue at the time of patient check-out; collects applicable co-pays; and completes receipt for patient.
- Schedules patient follow-up appointments.
- Follows telephone and email etiquette standards as outlined in Customer Service Policy.
- Communicates in a calm, respectful, timely, and clear manner; demonstrates a caring attitude; which promotes professional relationships.
- Acknowledges all patients, team members, physicians and the public with positive, friendly eye contact and greets everyone by name in a warm and friendly manner. Uses positive body language.
- Maintains an organized, clean and presentable office work area.
- Consistently provides excellent customer service as evidenced by patient, patient surveys, and/or co-worker comments.
- Assists with training as needed.
- Maintains privacy and confidentiality.
- Follows UNLV Health policies and procedures.
- Reports to work on time and as scheduled.
- Uses time clock, overtime and leave requests correctly and submits on time.
- Completes work within designated time.
- Adheres to dress code, including name badge. Maintains a neat and clean appearance.
- Assists with training of new personnel, as needed.
- Utilizes company resources responsibly, avoiding waste.
- Functions effectively in a Matrix Management environment.
- Completes any duties and special assignments as requested.
- High School Diploma or equivalency
- Minimum one (1) year experience in customer service; preferably in healthcare.
- Current and valid driver’s license
- Demonstrated ability to use a computer with Microsoft Office knowledge
- Knowledge of ICD-10, and CPT coding guidelines
- Medical terminology
- Knowledge of Medicare guidelines
- Excellent oral/written communication skills
- Must be well organized and detail-oriented
- Ability to establish and maintain effective working relationships with patients, team members, physicians and the public
- Bilingual Spanish a plus
- May include standing, sitting, and/or walking for extended periods
- May include performing repetitive tasks
- May include working with challenging patients
- May include working on a special schedule (I.e., evenings and weekends)
- May include lifting up to 25 pounds
