Duties and Responsibilities


    • Serves as logistical and academic support for the Shidler College of Business Executive Education programs: Executive MBA (hybrid), Master of Human Resource Management, and other executive education programs.
    • Works directly with Faculty Directors for executive education programs on course schedules, course offerings, instructor needs for specific courses, and BANNER requirements for course offerings.
    • Works directly with Outreach college on course development, classification and registration.
    • Works directly with the UH Manoa Office of Veterans Student Services to guide, troubleshoot, and assist students who are utilizing federal monies including: Post 911 GI Bill, Tuition Assistance, and VA Vocational Rehab funds.
    • Provides individualized registration and LMS instruction and academic advising to individuals and small groups as needed.
    • Addresses and manages logistical items related to course materials, facilities use, and parking to successfully implement Executive Graduate programs.
    • Administers course evaluations, develops course schedules, sets up courses and enters grades.
    • Serves as the primary point of contact for current students for questions and requests related to the shipping, handling and/or pick up and distribution of course materials and textbooks.
    • Provides students with registration and academic support for Shidler's Executive Graduate programs.
    • Monitors student academic progress and standing; answers questions from current students regarding college and university academic policies and procedures.
  • Serves on behalf of Shidler College graduate chairs to review and authorize routine academic forms and memos to UH Manoa Graduate Division.
    • Recruits, interviews, selects, and supervises all student assistants working for Executive Education programs.
    • Schedules student assistants according to program needs and submits hours to Fiscal Office to ensure timely payment to student employees.
    • Ensures student compliance with UH graduation requirements and certifies final degree checks, consults with Faculty Director and Executive Education Director for unusual academic issues.
  • Maintains student files.
    • Serves as the primary point of contact for vendors in relation to logistical planning and classroom preparation for on-site, weekend classes.
  • May serve as liaison and recruitment representative for Executive Education Center degree programs in the absence of the Director, at various conferences and education fairs off campus. Some of these events may occur outside of normal business hours.
  • Assists with annual budget development in partnership with Executive Education Fiscal Specialist and other staff.
  • Assists in communicating with students, and collecting documentation/receipts for submission to Fiscal Specialist and/or Academic Support Specialist for reimbursement or stipend processing.
  • Works evenings and/or weekends, at on-and-off campus assignments as required by executive programs.
  • Provides reports as needed regarding expenditures associated with existing programs.
  • Assists with the execution of programmatic fiscal tasks to ensure that all outstanding bills, invoices, and requests for quotes associated with executive education programs are processed in a timely manner.

Minimum Qualifications
  • Possession of a baccalaureate degree in Business, Education, or related field and 3 years of progressively responsible professional experience with responsibilities for academic and/or student support or event planning; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  • Considerable working knowledge of principles, practices and techniques in the area of academic and/or student support as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with academic and/or student support.
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  • Demonstrated ability to operate a personal computer, apply word processing software, online video conferencing platform tools, learning management platforms, and course registration systems.
  • If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  • Knowledgeable with current trends, practices and issues for executive education and executive education students.
  • Able to effectively communicate and provide excellent customer service and assistance to diverse student populations.
  • Possesses strong self-direction and takes initiative to promote student success with minimal supervision.
  • Ability to function effectively with multiple priorities, be well-organized, and effectively manage time while producing quantitative results.
  • Effectively establish and maintain cooperative working relationships with a variety of people, including students, faculty, and administration.
  • Proficient use of technology and computer applications that will enhance student and faculty program experience within classrooms and spaces used by the executive education programs.
Desirable Qualifications (if applicable)
  • Knowledge and proficiency with academic and/or program databases such as Banner, STAR, and Laulima.
  • Knowledge and proficiency in Outreach College policies and procedures with regard to course listings and registration.
  • Thorough knowledge of varied degree requirements and course requirements for Executive Education graduate programs and Shidler College of Business specialized Masters programs.
  • Demonstrated ability to learn and understand specific policies and procedures in an academic setting.
  • Experience with direct student support in a higher education environment.
  • Experience with program development, planning, management and operational duties related to executive education and specialized graduate programs.
  • Thorough knowledge of technical issues pertaining to UH Banner, STAR, and Laulima systems.
  • Experience working within an executive education program/setting where highly individualized and quality services are provided to the students.
  • Experience with hiring and supervising student employees and effectively evaluating and providing feedback.
  • Knowledge of University, College of Business and Outreach College policies and procedures.
