Our client is seeking a detail-oriented and proactive Paralegal to support our real estate transactions team. In this role, you’ll be instrumental in managing the full lifecycle of both commercial and residential mortgage closings—from preparing documentation and coordinating third-party services to ensuring compliance and accuracy throughout the process.

Key Responsibilities

  • Conduct property and record searches using Registry of Deeds and other relevant platforms.
  • Open, organize, and track real estate closing files.
  • Order and prepare documentation for new loan files.
  • Draft mortgage and loan documents for commercial and residential transactions.
  • Coordinate with title companies, surveyors, municipal offices, and legal teams to gather required information for closings.
  • Manage key transaction timelines including closing, rescission, and funding dates.
  • Review and edit legal documents for accuracy and completeness.
  • Issue title insurance policies.
  • Handle post-closing tasks such as discharges, title certifications, and finalizing file documentation.
  • Support civil litigation related to collections, as needed.
  • Ensure compliance with all BSA, OFAC, and applicable regulatory requirements.
  • Maintain strict confidentiality and data security in all tasks.
  • Participate in required annual training related to BSA, GLBA, and other financial regulations.
  • Perform additional administrative or legal support duties as assigned.

Qualifications

  • Minimum 3 years of experience in commercial and/or residential real estate transactions within a law firm or financial institution.
  • Solid understanding of legal real estate terminology.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Proficient in Microsoft Office; experience with Qualia Software a plus.
  • Able to manage multiple priorities in a fast-paced environment, both independently and collaboratively.
  • High level of discretion and professionalism.

Education & Training

  • High school diploma or equivalent required.
  • Paralegal certificate or degree preferred.
  • Ongoing training in compliance and security will be provided and required annually.

Physical Requirements

  • Primarily desk-based role involving computer use and occasional phone/video communication.
  • Must be able to sit for extended periods and lift/move items up to 20 lbs.
  • Reasonable accommodations available upon request.

Work Environment

  • Professional office setting with moderate noise levels.
  • Fast-paced with occasional interruptions, especially during peak closing periods.
