Associate Executive Assistant

Reports To: Senior Executive Assistant

Position Summary

As a key member of the Executive Operations team at Savannah Services Group, the Associate Executive Assistant (Associate EA) will directly support the Senior Executive Assistant in executing top-level priorities across the parent company. While The Senior EA, is focused on high-level CEO support and managing M&A execution, the Associate EA will ensure administrative continuity by owning delegated workflows across M&A evaluations, parent company initiatives, and CEO-related GovCon responsibilities.

This is a behind-the-scenes, high-accountability role for someone who thrives in a remote-first, fast-moving environment. The ideal candidate will have strong business judgment, impeccable organizational skills, and the ability to track and execute complex tasks with minimal oversight. This is not a role embedded in the GovCon operations; rather, it supports parent-level executive activity, including occasional coordination of GovCon tasks only where the CEO is directly involved.

Key Responsibilities

Executive Support & Calendar Coordination

  • Manage and coordinate meetings, follow-ups, and communications for initiatives delegated
  • by the Senior EA.
  • Maintain accurate scheduling and task tracking for parent-level priorities, including CEO meetings that touch GovCon or M&A.
  • Assist in inbox management and administrative triage, escalating time-sensitive items as needed.

M&A Evaluation & Admin Support

  • Populate M&A evaluation templates and manage document collection from prospective acquisition targets.
  • Organize valuation and diligence files in SharePoint; track status of required inputs from legal, finance, and external partners.
  • Maintain updated checklists, timelines, and project trackers in Asana.

Project & Task Management

  • Manage delegated admin projects from the Senior EA, including recurring monthly tasks, document prep, and cross-functional coordination.
  • Track progress on special projects related to internal systems, documentation, and executive team rhythms.
  • Organize and maintain folders and documents in Loop, SharePoint, and other internal systems.

CEO-Related GovCon Admin

  • Support limited GovCon responsibilities that fall under the CEO (e.g., meetings with advisors, client briefings, contract strategy).
  • Schedule and prepare notes or documents for those meetings when assigned.
  • Assist in maintaining consistency of records and communications related CEO-level GovCon work.

Internal Coordination & Meeting Logistics

  • Coordinate logistics for executive and cross-company virtual meetings.
  • Prepare agendas and meeting notes as requested by Senior EA; follow up on assigned action items.
  • Support coordination of internal events and executive offsites as needed.

Skills And Qualifications

  • 7+ years of administrative or executive support experience, preferably in high-growth or multi-entity business environments.
  • Strong proficiency in Microsoft 365 (Outlook, Teams, SharePoint), Asana, and HubSpot.

Familiarity with P&Ls, balance sheets, and valuation principles preferred.

  • Highly organized and systems-oriented; able to manage a broad set of recurring tasks without losing track of detail.
  • Strong written and verbal communication skills, with professionalism in digital communications.
  • Experience in M&A, private equity, or working alongside executive teams is a plus.
  • Experience in fully remote roles and cross-time-zone collaboration is essential.
  • Military experience is appreciated and aligns with the values of our team.
