Job Title: Secretary 4, Title 1 Office

Location: Teacher Administrative Center, 3215 Cuming St, Omaha. NE 68131

Reports To: Director of Title 1

Work Schedule/FLSA Status: 12 Month / 8 hours per day (Non-Exempt)

Salary Schedule: Starts at $21.97/hr plus benefits. Salary grade 32E. Compensation and benefits are administered consistently with the Office Personnel negotiated agreement.

Position Purpose: The purpose of this position is to provide administrative support to the director and the Title 1 Non-Public School Program.

Knowledge, Skills, And Abilities

  • Answer telephone calls in a professional manner with tact and courtesy.
  • Submit and track invoices for payments.
  • Work professionally with others in the office setting.
  • Type correspondence and reports with accuracy.
  • Sort and distribute department mail.
  • Maintain accurate and confidential records and data.
  • Maintain a positive working relationship with fellow staff members.
  • Schedule the director's calendars and set up meetings.
  • Prepare materials for meetings.
  • Reserve locations for meetings.
  • Submit requisitions.
  • Submit extra duty pay requests.
  • Work as part of a team.

Essential Performance Responsibilities

  • High school diploma or equivalent, required.
  • Experience as an administrative assistant, preferred.
  • Work experience in an urban school and/or central district office setting is preferred.
  • Demonstrated working knowledge of OPS procedures and policies, principles, and practices of the organization, preferred.
  • Experience using OPS Anywhere or PeopleSoft to complete payroll and requisitioning of work materials and supplies, preferred.
  • Good organizational skills.
  • Ability to professionally communicate with school personnel and the public using tact and courtesy.
  • Ability to establish and maintain positive working relationships with staff and promote a team approach.
  • Ability to maintain strict confidentiality and work under pressure.
  • Excellent attendance and prior work record.
  • Advanced skills using Office 365 and applications such as Word, Excel, and PowerPoint.
  • Ability to effectively use a variety of technologies.
  • Ability to effectively communicate, verbally and in writing, using proper grammar.
  • Demonstrated attention to detail in work products.
  • Submit and track invoices for payments.
  • Maintain accurate and confidential records and data.
  • Schedule calendars and set up meetings.

Additional Duties: Performs other related tasks as assigned by the supervisor.

Equipment: This position requires the ability to use basic office equipment such as computers, copiers, scanners, and a fax machine. Must always comply with OPS’s guidelines for equipment use.

Travel: Local travel is not required.

  • Contact with personnel within the district and with customers and vendors.
  • Works under the direct supervision of the department supervisor in order to complete day-to-day tasks.
  • Works with a diverse population, including multiple nationalities and cultures, requiring the ability to handle all situations with tact and diplomacy.
  • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service.

Employee Punctuality and Appearance

  • In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.
  • Regular attendance is important.

Terms of Employment

This position is treated as a full-time, non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.

  • Obtaining and providing verification of all licenses, certificates, and other requirements for the position (e.g., Paraprofessionals obtaining “Highly Qualified status,” etc.), as identified, and maintaining all licenses, certificates, and requirements for your position throughout employment.
  • A background check that demonstrates to OPS that the background is acceptable for the position.
  • Verification of U.S. citizenship or legal authorization to work in the United States.
  • Successful completion of a pre-employment drug test (if required for the position offered).
  • Successful completion of a tuberculosis skin test (if required for the position offered).
  • Successful completion of a pre-employment medical examination is required to determine the ability to safely and effectively perform the essential functions of the position.
