The Role
We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Financial Officer (CFO) and key Finance functions. This role involves managing the CFO’s calendar, coordinating complex travel arrangements, organizing meetings, and supporting Capital Markets, Treasury, and Investor Relations activities. The ideal candidate will demonstrate exceptional communication skills, a proactive approach to problem-solving, and the ability to handle confidential information with discretion.

The Role
We are seeking a highly organized and detail-oriented Executive Assistant to support our Chief Financial Officer (CFO) and key Finance functions. This role involves managing the CFO’s calendar, coordinating complex travel arrangements, organizing meetings, and supporting Capital Markets, Treasury, and Investor Relations activities. The ideal candidate will demonstrate exceptional communication skills, a proactive approach to problem-solving, and the ability to handle confidential information with discretion.
Key Responsibilities
Calendar and Travel Management:
- Manage the CFO’s calendar, including planning and scheduling meetings.
- Arrange complex travel plans and itineraries.
- Compile and organize necessary documents for conferences and investor meetings.
- Schedule and coordinate quarterly investor teleconferences and multiple annual industry conferences.
- Prepare materials and binders for Executives attending events.
- Organize in-person and virtual meetings with external stakeholders such as banking partners, investors, analysts, and hiring candidates.
- Process wires, letters of credit, and surety bonds as directed by Cash Management.
- Screen incoming calls, emails, and written correspondence, responding to inquiries as necessary.
- Arrange logistics for programs, events, meetings, and conferences, including securing facilities and caterers, sending invitations, coordinating speakers, and managing event budgets.
- Create and maintain spreadsheets, presentations, and various other files.
- Submit invoices and expense reports, ensuring alignment with departmental budgets.
- Provide additional administrative support to Finance or other Company Officers as assigned.
- Proven experience as an Executive Assistant or in a similar role supporting C-suite executives.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
- Ability to handle confidential information with discretion.
- Detail-oriented with a commitment to accuracy and thoroughness.
- Flexible and able to adapt to changing priorities.
- Experience supporting Finance, Capital Markets, or Treasury functions is a plus.
- Familiarity with financial processes such as expense reporting, wire transfers, and budget tracking.
