The Payroll & HRIS Coordinator at Vibrant Health is responsible for managing all aspects of payroll processing and ensuring both support and maintenance of the Human Resources Information System (HRIS). This includes, but is not limited to, bi-weekly payroll processing and employee file management.
Essential Job Results
- Entering position and rate changes into HRIS system.
- Removing employees from HRIS system as appropriate.
- Preparing orientation materials and packets.
- Collecting, preparing and scanning employee documents.
- Maintaining and updating employee records through online document storage.
- Monitoring of and responding to online HR and Payroll mailboxes.
- Answering employee and manager questions/inquiries about payroll-related matters.
- Sending bereavement and birthday cards to employees.
- Consistently and correctly performing weekly, monthly and as needed reports.
- Auditing HRIS system for accuracy.
- Verifying timecards, missed punches and pending PTO requests.
- Performing necessary audits.
- Ensuring yearly W2 processing is accurate and timely.
- Bi-weekly payroll processing to include retro pays, referrals, garnishments, 401K, bankruptcies, float pay, preceptor pay, bonuses, clothing deductions etc.
- Distributing payroll checks.
- Creating board slides monthly.
- Tracking yearly flu shots.
- Performing employment verifications and reference checks.
- Ensuring compliance with labor laws and internal policies by maintaining up-to-date knowledge and documentation.
- Training new hires how to utilize the HRIS system for clocking in and out.
- Training supervisors and managers on HRIS functions such as approving timecards and PTO, entering schedules for employees and other items.
- Identifying and implementing initiatives and changes to eliminate manual entries and processes.
- Identifying ways to develop and grow the HRIS system functions to create a database of information and resources for employees.
- Creating and analyzing metrics such as turnover, retention, and others.
- Administering Leave with UNUM and the Director of Employee Relations.
- Working with EDI integration from benefits vendors and maintenance of these systems.
- Cross training to assist in covering credentialing and recruiting if necessary.
- Cross training in benefit enrollment and FLMA.
- Compliance with HIPAA and Corporate Compliance program policies and other applicable corporate and departmental policies.

- High school diploma, GED or suitable equivalent.
- Working knowledge of labor laws, HR compliance and payroll practices.
- Excellent verbal and written communication skills.
- Working knowledge of personal computers and Microsoft Office Suite (Word, Outlook, PowerPoint & Excel) required.
- High attention to detail, organization and confidentiality.
- Ability to focus for extended periods of time.
- Excellent problem solving and customer service skills.
- Must be a self-starter.

- Position involves extensive use of computer, telephone, fax and copier equipment.
- Must have manual dexterity and experience to perform handwritten paperwork, recordkeeping, and filing.

- Frequent bending/stooping, squatting, reaching above the shoulders, twisting and turning, kneeling, and pushing/pulling may be required.
