The Project Estimator will support the Client Services team by producing detailed and accurate estimates for full-service event production, including audio, video, lighting, rigging, and labor. This internal-facing role works collaboratively with Account Managers and Producers to respond to RFPs, scope changes, and day-to-day quoting needs. The Estimator will be a key contributor to the consistency and accuracy of client-facing proposals and internal budgets.

This position reports to the Director of Sales.

Essential Job Functions

  • Create detailed estimates for audio, video, lighting, rigging, and labor for full-service event productions
  • Support RFP response process through timely and accurate quoting
  • Interpret floor plans and technical specifications to identify necessary equipment and labor
  • Collaborate with Client Services, Technical Directors, and Project Managers to refine estimates
  • Input and manage quotes using Flex rental software
  • Review equipment availability and recommend substitutions or sub-rentals when necessary
  • Apply basic Vectorworks proficiency to understand or mark-up CAD drawings
  • Support internal budget reviews and pricing validation
  • Maintain and update estimating tools, templates, and rate sheets
  • Assist with inventory awareness and pricing alignment across teams

Qualifications/Rewuirements

  • 5–10 years of experience estimating in AV rental or live event production
  • Proficiency in Flex rental software
  • Basic proficiency in Vectorworks or similar CAD tools
  • Strong understanding of AV production disciplines (audio, video, lighting, rigging, staging)
  • Excellent organizational and time management skills
  • Ability to collaborate cross-functionally with internal teams
  • Strong communication skills and high attention to detail
  • Ability to work full-time, 40–50 hours per week with occasional overtime
  • Must be able to communicate effectively in writing and verbally
  • Working knowledge of Google Drive/Sheets and Microsoft Office.
  • Experience on-site at live events is a plus

PHYSICAL DEMANDS

  • Ability to lift 25 pounds
  • Ability to sit or stand at a computer for extended periods
  • Ability to travel occasionally for internal meetings or team collaboration

Travel Requirements

Travel is estimated at 10% for internal meetings, team trainings, or client site visits, if needed.
